Guide-Interpreter Search System is enhanced by the Ministry of Land, Infrastructure and Transport (MLIT), which oversees the nation's tourism policies, and is operated by Japan Guide Association (hereafter JGA.) JGA recognizes that protection of the personal information of the system users is its most important responsibility, and abides by the rules specified below when handling customer's personal information.

1. Compliance with Laws and Regulations

JGA shall comply with legislation, regulations, and internal rules concerning personal information and when handling customer's personal information.

2. Purpose of Use

JGA shall obtain customer's personal information for the following purposes of use. When information is obtained for purposes other than herein specified, JGA shall inform the customer of its specific purpose before obtaining such information.

1) For the purpose of answering the inquiries from the customer regarding JGA's guide services
2) For the purpose of providing the customer with tour-guide, business-guide, and other services
3) For the purpose of conducting a questionnaire survey via email, etc., to enhance JGA's guide services, and to find ways to improve its customer satisfaction
4) For the purpose of statistically tallying and analyzing personal information and processing it to statistical data in which personal identification is impossible.

3. Legal and Appropriate Method of Collection

JGA shall not collect customer's personal information through deception or in an otherwise illegal manner.

4. Use

JGA shall share the following customer's personal information within the restrictions specified in Clause 2 "Purposes of Use":

Name, nationality, address, telephone number, email address, guide usage history

5. Information Provision to a Third Party

JGA shall not provide customer's personal information unless one or more of the following conditions is met:

1) Where customer's personal information is provided to a third party after obtaining the customer's prior consent
2) Where laws and regulations require that the information be provided
3) Where provision of information is necessary to protect life, health, or properties of a person and where it is difficult to obtain prior consent from the customer
4) Where provision of information is necessary to improve public hygiene or to promote healthy development of children, and where it is difficult to obtain prior consent from the customer
5) Where it is necessary for JGA to cooperate with national or local governments or public organizations or parties entrusted by national or local governments or public organizations in performing their legal duties, and where it is feared that obtaining prior consent from the customer might obstruct the execution of the said duties

6. Disclosure, Correction, and Deletion

JGA shall endeavor to maintain accurate and updated personal information of its customers. If a customer requests disclosure of his/her personal information that JGA is holding, JGA shall disclose such information promptly according to the designated procedure. If wrong information is discovered as a result of information disclosure, JGA shall correct or delete such wrong information promptly.

7. Security Measures

JGA shall take and continually update appropriate measures to prevent unauthorized access to, and leak, loss, damage, or tampering of, personal information it handles.

8. Training and Supervision of Employee

JGA shall conduct continual employee training to ensure security of personal information handled by its employees, and execute appropriate supervision of its employees.

9. Supervision of Outsourcing Partners

Where JGA wholly or partially outsources the handling of personal information, JGA shall execute necessary and appropriate supervision of the outsourcing partner to ensure security of personal information entrusted in the hands of the outsourcing partner.

10. Complaint Handling

JGA shall appropriately and promptly respond to any complaint concerning its handling of personal information.

11. Point of Contact for Personal Information Inquiries

If a customer wishes to request disclosure of personal information or make any other inquiry, JGA shall receive such requests or inquiries at the following point of contact, and respond to them appropriately.

JGA shall invoice the customer ,000 (tax included) per request of information disclosure as a handling fee. If the customer requires a special method of disclosure or communication, etc., which incurs additional expenses, JGA shall reserve the right to invoice an additional handling fee according to the expenses required.

JGA shall reserve the right to revise its Privacy Policy in order to protect its customer's personal information and/or to respond to revisions of related laws, regulations or other rules. When revising its Privacy Policy, JGA shall make an announcement to that effect on its website.
